On-site employee monitoring is a system through which a company tracks the hours worked by each employee, from clock-in to the end of their workday. 

Since 2019, following the enactment of the Royal Decree-Law on Time Tracking, all Spanish companies are required to perform attendance tracking. This regulation includes the following key requirements: 

  • All companies must maintain a daily time log for their employees, regardless of the type of work schedule
  • It is mandatory to record the daily clock-in and clock-out times, as well as overtime hours, breaks, shifts, on-call duties, and holiday days
  • Companies must retain these records for a minimum of four years
  • Time logs must be accessible to employees and unions
  • Employees must be informed of the distribution and duration of their workday
  • Unions must be provided with a monthly report on the overtime hours worked by employees. To comply with time-tracking regulations, tools like KVP simplify and streamline the process, ensuring efficiency and adherence to legal requirements.

In addition to being a legal requirement under Royal Decree 8/2019, attendance tracking is a highly useful system for companies to precisely monitor the hours each employee dedicates to their work. 

This allows businesses to verify if employees comply with their schedules and take the legally mandated breaks. It is particularly helpful for analysing punctuality and identifying cases of unjustified absenteeism, where employees fail to show up for work without a valid reason. 

Attendance tracking also benefits employees by reducing the likelihood of labour abuse, such as requiring workers to perform unpaid overtime. Furthermore, it enables employees to enjoy more flexible schedules and better time management.

A work schedule, or shift roster, is a table that provides information about the shifts assigned to a company’s employees. It can be prepared monthly, quarterly, or annually and is designed to manage, plan, and organize the company’s human resources based on the required time slots.

While there is no legal obligation for companies to maintain a work schedule, it is an essential tool for organizing the workforce and managing employee schedules, especially in organizations with rotating shifts.
